WAIA Product and AI Use Statement
What WAIA does, what it does not do, and how AI-related functionality is handled.
WAIA is the Workplace AI Academy from Nineteen Point Two.
It is designed to help organisations support practical workplace AI literacy, improve consistency of AI use, communicate internal guidance, record learner acknowledgement and create better visibility of adoption activity.
AI is not a strategy, it's a tool.
What WAIA does
WAIA helps organisations:
- provide practical AI learning to employees and managers
- explain safe, effective and responsible workplace AI use
- make organisation AI guidance visible to learners
- capture acknowledgement of organisation guidance
- track learner progress and completion
- support manager understanding of AI adoption in teams
- evidence practical AI literacy activity
- identify adoption gaps and support more consistent behaviour
What WAIA does not do
WAIA does not:
- provide legal advice
- provide HR advice
- provide regulatory advice
- guarantee compliance with the UK GDPR, EU AI Act or any other law
- certify an organisation as compliant
- replace internal AI governance
- replace human judgement
- make employment decisions
- score employee performance
- monitor employee productivity
- make automated decisions with legal or similarly significant effects
- approve or reject an organisation’s AI tools
- remove the need for customer policies, risk assessments or management oversight
Customer responsibility
Customers remain responsible for:
- their own AI policies
- their own lawful basis for processing employee data
- employee communications and privacy notices
- HR and employment decisions
- internal governance
- risk assessment of AI systems used in their organisation
- tool approval and access controls
- monitoring and enforcement of internal policy
- regulatory interpretation and legal advice
WAIA supports these activities. It does not own them on behalf of the customer.
AI literacy context
WAIA can help organisations take practical steps towards workplace AI literacy by giving people structured learning, guidance and evidence of completion.
The appropriate level of AI literacy will depend on the customer’s sector, workforce, AI systems, risk profile, employee roles and how AI is used in practice.
Use of AI within WAIA
WAIA may include AI-related content, frameworks, examples and practical learning materials.
Unless a feature clearly says otherwise, WAIA is not designed to submit Customer Personal Data to AI model providers for analysis or model training.
Nineteen Point Two does not intentionally use Customer Personal Data to train AI models.
If future WAIA features use AI to process customer-specific personal data, Nineteen Point Two will update the relevant customer documentation, product notices, privacy information, subprocessor list and contractual terms as required.
Learner responses and assessments
WAIA may collect learner responses, knowledge checks, completion records and acknowledgement activity.
These records are intended to support learning, evidence and organisational visibility. They should not be treated as a complete measure of employee capability, conduct, compliance or performance.
Customers should use WAIA records proportionately and in context.
Organisation guidance
Customer organisations may use WAIA to display their own AI guidance to learners.
Customers are responsible for ensuring their organisation guidance is accurate, lawful, current and suitable for their workforce.
If organisation guidance changes after a learner has acknowledged it, WAIA may require the learner to acknowledge the updated version, depending on the platform configuration.
No compliance guarantee
WAIA is designed to support better workplace AI adoption and practical governance evidence.
It does not guarantee that an organisation’s AI use is lawful, safe, compliant, complete or risk-free.
